Program

We understand how important an engaging program is, and our years’ of experience gives us the knowledge required to find the right speakers and design such a program.

We work with the committee in partnership, your success is our success.
From the initial brainstorm on what speakers will attract attendees and make your program stand out from the rest, to the finer details of audio visual, room allocation, session chair allocation, screen content and making sure that it all runs on time.

We understand the importance of the informal sessions or the social program.
Making sure we create a welcoming environment for colleagues to network and engage with each other to foster collaboration. We have created memorable social functions in every capital city of Australia and overseas.  Our role is to facilitate this and make sure that the venues selected are unique, attractive and memorable.

As the Tasmanian franchisee holders of ICMI Speakers and Entertainers Bureau, we have access to fantastic bands, comedians, and presenters to engage audiences and add that ‘WOW’ factor.

Partnerships & Planning

Our approach to conference management is holistic.
We don’t just look at the conference as a standalone event, but take into consideration the other activities of the association that can be leveraged to provide better outcomes for attendees, sponsors and exhibitors.
We provide our service from beginning to end.

As the conference manager, our role is to work closely with our clients to ensure the smooth implementation of the conference requirements. Our team acts as the central point of contact for all stakeholders and ensures that coordination of activities prior to, during, and following the conference is carried out.  This level of service can be provided across all facets of the event, or just those that the client does not wish to undertake.

Marketing & Media

We handle everything from logos to websites, to signage and audio visual.

We understand the importance of a considered, planned and targeted marketing campaign, and offer a custom marketing plan for each of our clients to meet conference objectives, together with managing the design, production and distribution of all materials.

Working with some of the best designers from around Australia, we can ensure that your conference looks amazing, has a recognisable brand that will transfer to all aspects of the event.

Venue Management

There are not too many major conference venues in Australia that we haven’t worked in. We can offer to you the benefit of our established relationships, enabling us to negotiate on your behalf for the best outcomes.

Venue contracts can be complex and it’s our role to thoroughly check the contract to ensure that our clients receive the best value, support and offer from venues.

Our involvement with the venue does not end once it’s booked. As part of our service we manage all communication with the venue’s onsite team to ensure that all catering, room requirements, AV, and logistics are compatible with the conference program and that everything is running to schedule. We apply this same approach to other third party suppliers including AV and production.

Financial Services

The majority of our clients request our financial services as part of their package.
They understand that our involvement with the financial aspect of their event allows for a smooth process from budget creation to reconciliation and final reporting.
With years’ in the industry we understand the standards and governance required to provide high quality financial management and a risk free solution for your conference.

Working extensively in the association sector we appreciate the important of returning a surplus for the association and we are able to demonstrate our skill in this important area.

Speaker Management

The selection of keynote and session speakers can make or break a program. We are in the unique position of being the owners and managers of the ICMI Speakers and Entertainers Bureau in Tasmania – so we can offer you access to thousands of speakers to suit any topic. Through our conference software EventsAIR, we can create online systems to enable contributing authors to submit abstracts, biographical information, photographs, slides, and author release approval.  The review process for academic conferences is easy. Reviewers can log in from anywhere, review and score abstracts or full papers at their leisure. In the lead up and on the day, we will be in regular contact with speakers to ensure that they have the support required to deliver a great presentation.

Onsite Assistance

Our entire Leishman team are well versed in onsite management and providing the highest level of customer service. Our professional and capable onsite team handles all enquiries and registrations from delegates, sponsors, speakers, venue staff, and stakeholders.

We ensure every person and company involved in the conference experiences a positive and personalised event. We provide a warm welcome and key information regarding the host city, program and venue.  Making sure we have our finger on the pulse, means that our committees can enjoy their time at the conference.

Sponsorship & Exhibition

We realise that sponsorship and exhibition revenue can play a big part in the overall financial success of an event. As a result, we have a dedicated team who work just on this area of the conference, from creation of the prospectus to delivery of package inclusions.

Alongside the organising committee, our team creates a database of current and potential sponsors, as well as sourcing our own. Our sponsorship and exhibition team have strong research skills which allows them to uncover new leads and possibilities to procure new exhibitors and sponsors, whilst retaining existing ones.

We manage the safe bump-in and bump-out of our exhibitors and are always on-hand to provide them with support. We work with some amazing exhibition companies to make sure that the onsite experience exceeds the expectations of your sponsors. We treat them like gold, understanding the value of partnerships.
